Hardhat Flow is a multi-tenant SaaS platform built for construction and project-based companies that need to manage the complete lifecycle of work — from the moment a bid is created through job execution, invoicing, and final payment. Every record, every status change, and every field update is tracked in a permanent, immutable audit trail so your office and field teams always have a single source of truth.


How Work Gets Done

Hardhat Flow organizes all work around a single, clear pipeline:

Bid  →  Job  →  Invoice  →  Payment  →  Workflow Complete

A Bid is created by a Project Manager and moves through approval. When an Owner approves a bid, a Job is created automatically — no manual handoff required. The field team executes the work, the Accounting team raises an Invoice, and payments are recorded until the balance is settled and the workflow is marked complete.


Who Uses Hardhat Flow

Six roles cover every person in your organization:

Platform Admin Manages the entire platform across all tenants
Owner Full company access — approves bids, manages users, oversees everything
Accounting Creates invoices, records payments, views job details
Project Manager Creates and manages bids, assigns workers, drives jobs to completion
Supervisor Manages assigned jobs in the field, posts updates and photos
Badge Worker Views assigned job details, posts updates and photos

Role-Based Access Control

Every endpoint is protected by role permissions. People see and do exactly what their role allows — nothing more. Sensitive bid financials never reach the field unless they need to.

Full Audit Trail

Every status change, update, and action is logged to an immutable Activity Log. Nothing is hard-deleted. Your records are always complete and defensible.

Field-to-Office Visibility

Supervisors and Badge Workers post real-time updates and photos from the field. Project Managers and Owners see those updates immediately. No phone tag, no missed status calls.
